A technology services company in West LA is hiring an Office Assistant on a contract-to-hire basis. The Office Assistant will serve as the front desk receptionist answering calls; receiving and sending mail and shipments; and managing and organizing the physical office space. This is a great opportunity for someone who is interested in a growing IT company serving local clients primarily in the entertainment industry.
Responsibilities:
- Enter expenses and manage client profiles in accounting software.
- Process and track company checks and bank deposits.
- Process and receive purchase orders.
- Answer client questions about invoices and billing.
- Answer finance and billing tickets in the CRM system (connectwise manage).
- Assist with team lunches and monthly off-site breakfast.
Office:
- Answer inbound calls to the main line during regular business hours (9am - 6pm) and transfer to the appropriate staff member.
- Process inbound mail.
- Receive and send shipments to and from the office.
- Coordinate equipment coming to and going from the office.
- Arrange for building repairs and requests.
- Keep office tidy and organized.
Qualifications
- Previous experience answering general inquiries and managing office tasks.
- Organized and detail-oriented.
- Ability to navigate multiple internal technology systems including QuickBooks and CRM ticketing software.
- Ability to be in the office during regular business hours (9am - 6pm).
- Self-driven, fast learner, and adaptable.
The ideal candidate will have 1-2 years of experience. This is a fully onsite position and hours are 9-6PM. This company offers room for growth and strong benefits. Pay is based on experience, ranging from $55-60k.
Requirements - Possession of basic office skills, including but not limited to, managing files, typing, and operating office machines.
- Proficient in the use of Microsoft Office Suite, including Word, Excel, and PowerPoint.
- Effective communication skills, both written and verbal, to interact with team members, clients, and stakeholders.
- Strong organizational skills with the ability to multitask and prioritize tasks according to urgency and importance.
- Demonstrated ability to work independently and as part of a team, showing initiative and problem-solving skills.
- Detail-oriented with a strong focus on accuracy and quality of work.
- Detail-oriented demeanor and a positive attitude, upholding the company's image and values.
- Basic understanding of office procedures, such as record keeping, data entry, and scheduling appointments.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Willingness to learn new skills and adapt to changing work environments or procedures.
